Privacy Policy

Last updated: October 11, 2026

This Privacy Policy describes how PNW Aerial Media (“we,” “us,” or “our”) may collect, use, and share information when you visit our website, contact us, request a quote, book a project, or pay an invoice.

Information we may collect

Depending on how you interact with us, we may receive your name, email address, phone number, project address or location, requested services, scheduling details, messages, invoice information, payment status, and other information you choose to provide.

When you visit our website, technical information may be processed by our server, Cloudflare, and analytics services. This may include your IP address, browser and device information, pages visited, referring pages, and information about how you interact with the site. The information collected depends on the services and settings in use.

How we use information

We may use information to respond to inquiries, prepare quotes, schedule and perform services, communicate about projects, issue invoices, confirm payments, deliver work, understand website usage, maintain business and tax records, address disputes, improve our services, and comply with legal obligations.

Contact forms and email

If you submit our website contact form or email [email protected], we use the information you provide to respond to your inquiry and manage potential or confirmed work. Information submitted through the contact form may be processed by the website server and any services required to deliver the submission. Email messages are also handled by the email service used for our business address.

Please avoid sending sensitive personal or financial information through the contact form or ordinary email unless it is necessary for your request.

Website hosting, Cloudflare, and analytics

Our website is hosted on a server we operate, with Cloudflare providing services in front of the website. Cloudflare may process technical information, including IP addresses and request information, to deliver and protect website traffic and provide analytics.

We also use Google Analytics to understand website traffic and visitor interactions. These services may use cookies or similar technologies, depending on their configuration, to collect information about website usage. Information may be processed by Cloudflare, Google, and their respective service providers under their own privacy terms.

We do not use analytics information to intentionally identify individual visitors by name. However, technical or analytics information may sometimes be associated with other information held by a service provider.

Invoices and payment processing

We use Zoho Books for invoicing and business records and Stripe for payment processing. These services may process information such as your name, contact details, invoice amount, payment status, transaction date, and transaction reference.

Payments made through Stripe are subject to Stripe's own terms and privacy policy. We do not intend to collect or store full payment-card numbers or security codes directly. We may retain payment confirmations and transaction information for accounting, project administration, and legal compliance.

When information may be shared

We may share relevant information with service providers that help operate our website, protect or analyze website traffic, communicate with customers, manage invoices, process payments, store or deliver project files, or maintain business records. These providers may process information as needed to provide their services.

We may also disclose information when required by law, to respond to valid legal requests, to protect rights or safety, or in connection with a business transfer. We do not sell personal information as a business practice.

Photos, video, and property information

Project files may depict properties, land, buildings, and surrounding areas. We use and deliver those files according to the project agreement and applicable law.

Unless otherwise agreed in writing, we may use project photos or videos in our portfolio or marketing materials. If you do not want your project used for portfolio or marketing purposes, you must tell us before the project begins and obtain written confirmation of the restriction.

File storage and retention

We store project files using a combination of local storage and cloud storage. Access to and retention of particular files may depend on the project, the storage service, available capacity, and operational requirements.

We generally aim to retain project files for approximately one year unless otherwise agreed or required. We do not guarantee indefinite storage or the ability to recover files after that period. Customers should download and maintain their own copies of delivered work.

Other information, such as invoices, payment records, and business correspondence, may be retained for different periods when reasonably necessary for accounting, legal compliance, dispute resolution, or business operations.

Security

We use reasonable measures intended to protect information handled through our business. However, no website, internet transmission, or storage system can be guaranteed to be completely secure. We cannot promise that unauthorized access, loss, or disclosure will never occur.

Your choices and privacy requests

You may contact us to ask about personal information we hold or to request a correction or deletion where applicable. We will consider requests in accordance with applicable law. Some information may need to be retained for accounting, legal, security, or contractual reasons.

You can also manage cookies through your browser settings. Blocking or deleting cookies may affect certain website or analytics features. Google and Cloudflare provide their own information about their privacy practices and available controls.

Children

Our services are intended for customers arranging photography or video services, not for children to use independently. Please do not submit a child's personal information unless it is necessary for a project and you are authorized to provide it.

Changes to this policy

We may update this policy when our practices, services, or legal obligations change. The “Last updated” date above will be revised when a new version is posted.
